1. Data controller
The data controller is the Pvm l1etuva community administration. For privacy questions or requests for access, correction, or deletion, contact arunas@pikelis.eu.
2. Data we collect
Depending on the features you use, we may process:
- Discord user, server, channel, and message IDs, username, display name, and role IDs;
- bot command text, responses, reactions, submission status, and timestamps;
- content posted in a monitored channel, attachment metadata, Discord image URLs, and a temporary image copy when required for processing;
- the OSRS name, introduction, and proposed clan contribution submitted through the leadership application form;
- a supporter’s OSRS name, recorded supporter GP amount, privilege period, and weekly vote suggestions;
- player name, clan name, item name, and other activity data extracted locally from screenshots by OCR;
- Old School RuneScape player name, WOM membership type, clan rank, activities, points, loot, KC, XP, pets, and event results;
- technical data required to operate and protect the service, such as error diagnostics, session data needed for security, and pseudonymous identifiers used to prevent abuse.
3. Sources of data
We receive data from your actions on Discord, server administrators, the Discord API, screenshots and commands you submit, the public Wise Old Man clan record, and public Old School RuneScape Wiki or Grand Exchange sources.
4. How we use data
We process data to provide the service, for the legitimate interest of administering and securing the community, with your consent when you submit content for a specific feature, or where required by law.
- run bot commands and provide responses;
- receive leadership applications, share them with clan leadership, and assess candidates;
- recognise and present evidence of game activity for administrator review;
- create approved records for clan activity, points, loot, ranks, events, and the clan bank;
- activate supporter profile, card, monthly summary, and vote suggestion features;
- link a Discord user to the player name they choose;
- secure the service, prevent abuse, and troubleshoot errors;
- display member and aggregate clan statistics on the website;
- comply with legal duties and rules applicable to Discord developers.
5. Automated processing
Screenshot text may be recognised with a local Apple Vision OCR tool. The result is used to suggest field values, while sensitive submissions may be reviewed by a person. Discord message content and images are not used to train machine-learning or generative AI models.
6. Sharing and service providers
Data may be processed through Discord infrastructure, the website and database hosting provider, and public WOM or OSRS information sources only as necessary for a requested feature. We do not send message content or screenshots to WOM or the OSRS Wiki merely because we use their public game data.
We do not sell data, use it for advertising, or disclose it to data brokers. We may disclose data when lawfully required by a competent authority or when necessary to protect legal rights.
7. Retention
We keep data only for as long as needed for the purposes above. Leadership applications are retained for the recruitment process and a reasonable decision history; pending activity submissions are retained until review; approved activity records and linked identifiers may be retained while they form part of clan history and points accounting; rejected submissions and temporary technical diagnostics are retained only as long as needed to manage errors, disputes, and security. Discord image URLs may expire under Discord’s rules.
When data is no longer necessary, the service stops operating, or Discord or the relevant user validly requests deletion, data is deleted or de-identified unless law or a legitimate legal need requires longer retention.
8. Cookies and security
We use only cookies and similar technologies that are necessary to operate the service; we do not use advertising or tracking cookies. We apply reasonable organisational and technical safeguards to protect data, but no system can guarantee absolute security.
9. Your rights
Subject to applicable law, you may request access, correction, deletion, restriction, objection, withdrawal of consent, or a portable copy of your data where the right applies. Include your Discord user ID and enough information to locate your records. We may ask you to verify your identity before completing a request.
You may also complain to the Lithuanian State Data Protection Inspectorate or your local supervisory authority. If authorised, you can stop bot access by removing it from the server or restricting its permissions.
10. International transfers and age
Discord and other providers may process data outside the European Economic Area under their privacy terms and applicable transfer safeguards. The service is not intended for anyone under 13 or under a higher minimum age required in their country. We do not knowingly collect data from such users.
11. Changes to this Policy
We may update this Policy when the service, processing, or legal requirements change. The latest version and revision date are always published here. Where practical, material changes will also be announced in the community channel.
